AI Use Policy

Useful technology. Human responsibility.
Last updated: 26 October 2026

We use AI to support our work. We remain responsible for how we use it, the information we put into it and the outputs we choose to deliver.

01Our commitment

We build AI for a living, and we hold ourselves to the standard we ask of our clients: Responsible, practical and profitable AI. AI should support useful work while protecting people, judgement and trust.

This policy explains our own use of AI across ETHIQ AI’s work, websites and services. It is a statement of working standards, not a guarantee that an AI system is error-free or suitable for every task.

02Where AI supports our work

We use AI to support research, drafting, design, analysis, teaching resources and app or workflow development. It may help prepare summaries, content, code, templates and business materials. It does not replace responsibility for the finished work.

Some ETHIQ AI services may include an interactive assistant or AI-generated suggestions. Where a particular feature processes information or has limitations you need to understand, those should be explained where the feature is used, alongside the relevant privacy information.

03Human responsibility

A person remains responsible for AI-assisted work delivered by ETHIQ AI. Review should be proportionate to the task and its potential impact. Work affecting client commitments, privacy, financial decisions, certification or access to services needs appropriate human judgement, not a rubber-stamp approval.

Routine automation, such as sending a requested resource or assigning an administrative tag, does not mean that a person manually reviews every action. We distinguish those tasks from decisions that materially affect someone’s rights or opportunities. A concern or disputed outcome can be raised with admin@ethiqai.co.uk.

04Personal and confidential information

We do not submit identifiable client or learner information to general-purpose AI tools for our ordinary internal drafting and research. The exceptions are the optional AI Study Buddy using Google AI Study Buddy, and the Base44 Governance Pack Generator, where a user chooses to use that service and provides information for it. Personal information is handled under our Privacy Policy and applicable data-protection law. AI does not remove the need for a lawful basis, transparency, security, appropriate contracts or any additional condition needed for sensitive information.

Before using personal or confidential information for an AI task, the purpose, necessity, provider, account settings and access arrangements need to be suitable. We minimise the information used and use anonymised or synthetic examples where practical. Removing a name does not necessarily make information anonymous.

Please do not put confidential client documents, passwords, payment details or unnecessary personal information into our AI features or training exercises. Only share information you are entitled to use for the stated purpose. Provider retention and use of inputs, including any model-improvement settings, must be assessed for the particular product and account; we do not make a blanket promise that all providers work in the same way.

05Accuracy, testing and limitations

AI can be confidently wrong. It can invent sources, miss context, produce insecure code or reproduce unfair assumptions. We check important claims against appropriate sources, test functionality where relevant and make uncertainty clear. Human review reduces risk; it does not guarantee perfection.

Our courses and general AI outputs provide education and information, not a substitute for independent legal, medical, financial or other regulated professional advice. Before using an output for a consequential decision, verify it against the facts and appropriate professional guidance.

06Transparency, images and synthetic content

Where an ETHIQ AI feature presents an AI assistant, we aim to make that clear before you interact with it. We disclose AI-generated or materially altered content where people could otherwise be misled or where the law requires it.

Our creative work may include AI-generated or AI-edited illustrations, designs and images, including stylised founder portraits. Such images should not be presented as documentary evidence of an event, an unedited photograph or an actual customer result. We do not use synthetic testimonials or fabricated customer experiences as genuine endorsements.

EU AI Act transparency duties generally began applying on 2 August 2026. Particular duties, exceptions and transitional arrangements depend on the system, use and whether the activity falls within the Act’s scope. This is not a single rule requiring every piece of AI-assisted writing to carry the same label. We assess relevant obligations for the work concerned and do not treat a December 2026 date as a blanket start date.

07Fairness, accessibility and people

We consider whether an AI-assisted process could exclude, stereotype or disadvantage people, and whether its outputs are usable and accessible. Decisions about people should be based on relevant evidence, with appropriate review and a route to raise concerns.

Hali Jafari personally reviews and approves every practitioner certification result. AI does not make the final decision about whether a learner is certified. Any material change to an assessment process must be explained to learners.

08Intellectual property and client work

Using AI does not remove copyright, confidentiality or licence obligations. We consider rights in the materials we input and the outputs we use. AI generation does not itself guarantee ownership, originality or freedom from third-party rights.

Client-specific permissions, data-processing instructions and delivery terms must be agreed for the project. Course materials and ETHIQ AI frameworks remain subject to the programme terms, including restrictions on uploading them to third-party AI tools outside designated exercises.

09Tools, changes and concerns

AI tools and provider terms change. We review suitability for the intended task rather than treating previous approval as permanent approval for every kind of data or use.

If you spot an error, an unclear disclosure or a use that seems inconsistent with this policy, contact admin@ethiqai.co.uk. Explain the content or service involved and the issue you would like us to review. We will investigate and take appropriate corrective action.

This policy covers ETHIQ AI’s own practices. It does not certify a third-party system or replace legal advice. We update it as our services, controls and relevant requirements change.
